FAQ for SQA DeskSpace users
For all issues not addressed by the FAQ sheet or user guide inform your tutor or contact the SQA Customer Contact centre by calling 0845 279 1000, or by emailing customer@sqa.org.uk.

Check if you have Caps Lock switched on. If your login still doesn’t work request a new password by following the link ‘Forgotton your password?’ on the Deskspace homepage. A new password will be emailed to you. |
Click on the link ‘Forgotton your password?’ on the Deskspace homepage where you will be asked to enter your username. A new password will be emailed to you. You can the change your password to something more memorable. To change your password see ‘I want to change my password’ below.

Click on the ‘Change your password’ link on the Deskspace homepage. You will be asked to enter your old password and confirm your new password. The next time you log in you can use your new password. Be sure to make it something you will easily remember and something which is secure eg includes numbers as well as letters.

You may need to click on the yellow pop-up bar at the top of your browser to allow the pop-up. If the problem persists contact your centres IS department to check your pop-up blockers or alternatively hold down the Ctrl key when you click on the links.

If pop-ups are enabled on your computer at home you may need to click on the yellow pop-up bar at the top of your browser to allow the pop-up. Alternatively, hold down the Ctrl key when you click on the links. Flash Player version 9 is preferred for improved navigation speed.

Go to the ‘upload file’ menu and select the appropriate option – in most cases this will be to upload a single file. You will then be able to add the title, description and tags before choosing the ‘upload file’ icon, and if required send it to a person or gateway. It will automatically be saved in your asset store. For more information read the section on " Uploading Files" in the Deskspace user guide .

Select ‘topic test’ from the tools menu. This will redirect you to the Solar website where you follow the link ‘student login to take an assessment’ and enter the keycode provided by your invigilator/ tutor. You will have the opportunity to do a trial assessment to get used to the online system prior to doing the assessment for real.

If you click on the view menu and then view all you will see a list of your assets. In the tab at the top of the list you will see two small circles. Click on the circles to access the sort tools which allow you to sort items using a range of different options. Click on the dustbin icon and all your deleted items will be listed. Click on an item and use the undelete option to return it to your asset store.

Assets can be published to a gateway by selecting ‘send to gateway’ and clicking on the Unit name in the structure followed by the green tick. If an error message is displayed reading ‘..’ you may not have permission to publish to that particular gateway. You will only be able to publish to the gateways of the Units you are taking. You will not be able to publish to resource gateways within the Unit or the Course gateway e.g. Early Education and Childcare. Consult your tutor and check whether you have selected the correct Unit.
Checklists do not require to be published to a gateway as they are automatically submitted. Self-audits should be sent to your tutor rather than a gateway. For more information on how to publish assets see the " Gateways" section in the user guide.

Send the asset to your peer by selecting the ‘send to person’ option on the last step of creating the asset and set the permissions accordingly. If your peer is required to complete ratings or questions in a self-audit select the ‘collaborate’ permissions. You can then select the user(s) from your contacts or group. Once you have received it back with the group member’s section completed, send it to your tutor in the same way.
Alternatively, you can allow other users to view and comment on your assets.

Be sure to view your shared assets on the ‘view’ menu rather than your own assets.
A record of shared assets which have not yet been viewed should also appear
on your current e-portfolio activity when you first log in. If you still can’t
see the asset, check with the person sharing the asset with you whether they
have selected the correct username and set the appropriate permissions. For

Checklists are published to you by SQA for each unit you are doing and can be found under ‘tools/checklists’. As a default they are set as auto-published which means that once you complete and submit it, the completed version will be sent back to the Unit gateway automatically where they can be viewed or marked by the tutor. You are able to view your checklists in the Unit gateway and a copy will also be saved to your asset store. For more information on checklists see the section " Checklists" in the Deskspace userguide.
Warning: do not remove completed assets from your asset store as you may need to resubmit it for a reassessment at a later stage.

Self audits are a bit different from checklists because they may need to be partly completed by your tutor. The description on the self-audits will tell you if you need to send it to your tutor.
Self-audits are published to you by SQA and can be found under ‘tools/self-audits’. When you have finished and saved the self-audit, send it to your tutor with ‘collaborate’ permissions. Tutors will then be able to complete the audit and send feedback if appropriate.

Assets are the items in the e-portfolio that you can create yourself such as action plans, meetings and webfolios using the ‘create new menu’. To get these viewed/marked by the tutor you can publish the asset to the relevant Unit gateway. For example, if you are creating an asset for ‘Child Development’ in the Skills for Work course Early Education and Childcare you can send the asset to the Unit gateway named ‘Child Development’. The screenshot below shows this example in the gateway structure.

Find your original asset, checklist or self-audit in your asset store from the ‘view’ menu. Be sure to rename the title to include the keyword ‘re-assessment’ (e.g. if the original name was ‘Half Brick Wall Self-audit’, add ‘Re-assessment’ at the front to make it ‘Re-assessment Half Brick Wall Self-audit’). Your re-assessment requirements may differ on a case by case basis and your tutor will tell you what you need to re-submit. Edit the asset according to these requirements and you may also add additional comments using the ‘add review’ option if you wish to explain any changes made. The submission process is the same as before depending on whether you are re-submitting an asset, checklist or self-audit.

You can refer to the document ‘Your Course Work 2007 – A guidance document for candidates’ which is available from the Deskspace homepage if you are unsure of what counts as plagiarism. Generally plagiarism involves taking someone else's words or ideas and trying to pass them off as your own. If you have found some interesting information e.g. on the internet, and would like to include it in an asset, be sure to put any copied text in quotation marks and make a note to show the source of the information.

Check your asset store by selecting ‘view all’ in the view menu, if you have opened a self-audit or checklist previously it automatically saves it in your asset store. You can then select the file and click on ‘edit’ to continue. Alternatively, it is possible that the self-audit or checklist has not been published to you in which case inform your tutor who will contact the SQA Customer Contact desk.

Where you are required to keep a research log, you can use the blog feature from the ‘create new’/ ‘more’ menu. The blog is just an online log in which you can create date-stamped posts of your activities. You can choose to allow comments on your entries from other users and you can also customise the look and feel of your blog.

The system currently does not have a track sheet but your tutor may provide a paper one for you. You can also create an action plan or blog for tracking progress instead and you can check your asset store for completed assets, checklists and self-audits.

Tutors can publish additional resources to the Unit resource gateway to help deliver the course. You are able to select the resource gateway and view and copy the resources within it. The resource gateway is nested in the Unit gateway. See the example structure below for the Unit ‘Plumbing’ in the Skills for Work Construction Crafts course.

Check with your tutor if they have submitted the feedback successfully.
There are a number of ways in which your tutor can provide feedback or comments. On any asset they can submit a comment and choose to make it private or public. Public feedback is marked with a teacher icon. You are able to remove comments from your assets, but feedback cannot be removed.
